Deposit and Cancellations
As a small family business, late cancellations and no-shows really affect us, our security deposit and cancellation policy is as follows:
A security deposit of £200 is required for all bookings at The Coach House. This deposit is held to cover any potential damage, loss, or excessive cleaning required following your stay.
The security deposit will be refunded in full within 14 days of your departure, provided the following conditions are met:
No damage is caused to the property, furnishings, or fixtures beyond normal wear and tear.
All keys are returned, and no items are missing or damaged.
The property is left in a clean and tidy condition, with rubbish properly disposed of.
No unauthorized pets are brought into the property.
No early check-ins or late check-outs occur without prior agreement.
In the event of damage, loss, or the need for extra cleaning, we reserve the right to deduct the appropriate amount from the security deposit. Should the costs exceed the deposit, the guest will be liable for the additional expense.
If you cancel within 1 week of your arrival date we will endeavour to re-let. If we are unable to do so, then we regret that we will be unable to refund any monies paid. Should you cancel prior to this date, we will refund any monies paid, or reschedule your stay for another date.
We therefore recommend that you take out appropriate holiday insurance to cover you and your family in the event that you cannot travel due to ill health or injury.
In the event that we need to cancel your holiday we shall inform you as soon as possible and refund all monies paid to us, by you, within 14 days of notifying you.
To secure your booking at The Coach House, a 30% deposit of the total fee is required at the time of booking. We allow 7 days from receipt of a provisional booking to reserve the property whilst awaiting this deposit. The remaining balance and security deposit must be paid in full 14 days before your scheduled arrival date.
If the booking is made within 14 days of your arrival, full payment will be required at the time of booking.
Failure to make payment by the due date may result in the cancellation of your booking and forfeiture of any monies already paid.
For bookings over 28 nights, a full refund will be offered up to 28 days before check-in. After that the first 28 nights are non-refundable. For bookings over 28 nights we require full payment to be made at the time of booking.
Arrivals
Check-in time is 3pm. We can sometimes arrange an early check-in so please contact us if you will arrive early and we'll do our best, without any promises.
Departures
Check-out time is strictly 10am. Should you require a later check-out we will do our best but you need to let us know beforehand. If we have guests arriving that day it will be almost impossible to offer a late check-out due to the cleaners needing to prepare for those guests.
Pets
We are happy to welcome up to 2 dogs. We charge a £25 supplement to bring dogs. We want all our guests and their dogs to enjoy their stay at The Coach House. We kindly ask that you carefully read and follow a few rules to help to ensure that this is the case.
PLEASE....
• Do not leave your dog unattended in the property at any time.
• Do not let your dog inside the property if it is wet, sandy or dirty. Please clean and dry your dog before allowing it into the property, although you do need to bring your own dog towels please. Please do not use the bath towels to dry your dog.
• Bring your own dog bed. We ask that dogs do not go on any of the furniture or upstairs.
• Keep your dog on a lead at all times.
• Clear up any dog mess from the garden. There are children living and visiting The Coach House who enjoy playing care free in the garden.
Quiet Times
Although The Coach House is relatively secluded located on the outskirts of Burcombe, Wiltshire, we ask that you respect the privacy of our neighbours. Specifically, between the hours of 10pm and 8am noise should be kept to a minimum.
Please also be aware that we live adjacent in the main house (The Old Vicarage). This is our family home and garden and we hope you will understand our need for our own private space too.
Breakages
We understand that sometimes accidents happen! Should you break anything please let us know immediately - if it's minor we usually won't charge. If it's a larger issue (e.g. the TV screen!) we would like to agree the cost with you before you leave to avoid any issues later. Thank you!
Smoking
Smoking is not permitted at any time within the property. Please do not leave any lit candles or fires unattended.
Parking
You are very welcome to park on the driveway. Cars are however left at their owners own risk.
Supervising Children
By booking and coming to The Coach House you agree to be responsible for your children and any children in your care, and your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to facilities.
The Coach House accepts no liability for theft, loss or damage to your property that may arise from your stay atThe Coach House.
Visitors
Day visitors are welcome. Please inform us of their arrival in advance so we can agree parking arrangements. All visitors must leave the site by 10pm.
